Conference Overview

OAPN will host an in-person 2021 Conference October 18-20 at Playhouse Square and the Crowne Plaza Hotel located in the historic Playhouse Square District in downtown Cleveland, Ohio.

We are closely monitoring the pandemic and our in person 2021 Conference will follow all CDC Guidelines, Ohio guidelines, laws, and suggested best practices that are in effect in October 2021.

Juried showcases will take place inside the stunning 1,000 seat Mimi Ohio Theatre and visitors can enjoy staying at the beautiful Crowne Plaza Hotel located conveniently across the street. Attendees can expect to find numerous networking opportunities, exceptional juried showcases, and a bustling exhibit hall.

Presenter attendees come from all parts of Ohio, and bordering States, and represent a wide variety of arts organizations and venues, including small concert associations, colleges and universities, mid to large-size performing arts centers, and everything in between. Many of them attend our Conference to book a significant part of their future seasons.

NEW SPONSORSHIP OPPORTUNITY FOR ARTISTS: Up to (4) four Artist Sponsorships are available for Ohio-based, self- or unrepresented, and self-identify as BIPOC, LGBTQ+, and/or an artist with a disability. This sponsorship will pay for the artist’s registration/showcasing fee, exhibit hall booth, hotel for two nights, reimburse the showcase application fee, and a stipend to the artist for travel costs to and from the Conference. This sponsorship also includes a 1-year membership to OAPN for the Artist. As an added benefit, Artists can request a mentorship meeting for guidance through any part of the showcasing process including, but not limited to, the creation of digital materials, marketing, application process, or other advice. You will find this question under the “Showcase Info” portion of your submission. Answering “yes” to this question does not increase or decrease your chances at being selected. Artists must submit to showcase using I Want To Showcase, be officially selected by our juried showcase committee, and have checked the box indicating their interest in taking part in this program.

NEW VIRTUAL SPOTLIGHT OPPORTUNITY: For Artists who cannot commit to traveling to the in person Conference or are not selected for an in-person showcase, OAPN is offering a Virtual Spotlight option when submitting your application to showcase. Should your application not be selected for a full in person showcase, it can be considered for a shorter, virtual “Spotlight” video to be shown online for all in person Conference attendees. Spotlight artists will be chosen based on the selection committee’s review of showcase applications and, if invited, will be asked to submit a self-produced video not exceeding 5 minutes (you do not have to submit that video as part of this application). Spotlight videos should include an introduction or personal message and performance footage that best showcases your work--think of it as a virtual pitch to Presenters. There is no additional fee for Spotlight artists, other than the application fee and a current OAPN membership. To be considered for a Spotlight video, check the Yes box under "Alternate Performance" in the Showcase Info Task. If you are unable to attend the Conference and wish to ONLY apply for a Spotlight video, please indicate that in the Touring Info Task when asked.

We encourage performing artists of all disciplines (music, dance, theatre, children’s/educational, magic, comedy, variety, etc.) from Ohio, the US, and across the globe to apply. OAPN is committed to ensuring equity, inclusivity, and representation in our sector. We are committed to presenting a wide range of performances, though the final slate of artists depends on the number, type, and quality of applications received.

Showcase Provisions

Up to 24 selected artists will perform a 12 minute Juried Showcase in the 1,000 seat Mimi Ohio Theatre stage at Playhouse Square.

Applicants must be able to perform and participate in OAPN's in-person Conference October 18-20 and pay the Artist Tech fee in the amount of $350.00 USD. Additional costs to consider are Registration, Hotel, and other associated daily costs including but not limited to travel, food, etc.

OAPN will provide the following to showcase artists:

Sound – A full FOH and monitor sound system will be provided for showcasing artists. This will include FOH and monitor consoles with operators, monitor wedges, microphones, and cabling. This will be set up and operated in a “Festival Style” with allotting 5 minutes for changeover.

Lighting – A general static wash will be available. This will be preset and cannot be modified for showcases. If you have any special lighting needs such as black lights, blackouts, etc., please indicate these in your application.

Backline – A standard main stage backline package will be provided, including: an acoustic drum kit, electric piano, two guitar amplifiers, and a bass amplifier/cabinet. This equipment is provided as a convenience to the artists and to assist in keeping showcases running smoothly and on time. Use of artist-provided drum kits will not be allowed. Showcases utilizing the drum kit will have a maximum of 15 minutes prior to their showcase to adjust the drums off-stage during other showcases. Specific models of equipment to be offered will be finalized and included in the contract/technical specification sent to presenting performers.

Piano – A tuned 6’ or 7’ grand piano will be available for use during main stage showcases.

Sound Check – Performers must be available the morning of their showcase, as early as 8 AM, to run a 30 minute sound check/stage setup and to review final needs with the technical staff and stage manager. All showcasing artists will be notified in advance of their load-in/sound check schedule.

Dressing Rooms – Facility dressing rooms will be provided for showcasing artists.

Parking - Artists can unload in the alley near the venue.

An OAPN Production Manager will work closely with showcase artists to best meet your needs, but certain modifications may be necessary due to time constraints and production flow. Only IATSE local crew provided Playhouse Square may operate equipment during the juried showcases, unless otherwise agreed upon in advance.

Showcase Criteria

Artists who submit to showcase will go through a rubric grading style process led by OAPN’s showcase committee. Committees are composed of experienced presenters, artists, and other arts professionals from across the state who represent diverse communities, genres, and expertise.

If you are an Agent, please fill out an application for each showcasing act.

Ohio Arts Professionals Network’s Juried Showcase Committee reviews all submitted information and determines which applications will move forward based on artistic quality, readiness to tour, professionalism, marketing materials, and performing experience among many additional factors. It is essential that the materials provided to the jury reflect the quality of the artist's work.

Those who submitted to showcase in 2020 (accepted or not) are able and encouraged to submit to showcase for our 2021 Conference.

NOTE: Due to COVID-19, applicants do not need to explain their lack of tour history or lack of recent video throughout this pandemic. No points will be withheld for video that does not include an audience or a blank tour history throughout 2020. Please do, however, include tour history prior to COVID-19, as well as, any bookings rescheduled for the future.

Artists should be prepared to showcase the performance that was stated in the application. Any changes to configuration must be proposed for consideration by OAPN’s Showcase Committee as early as possible prior to the conference.

When building your application, these are some important files and bits of information the forms will ask for:

• High-Resolution Photo and an Alternate Photo (for variety)

• Biography (PDF)

• Description of your show

• Educational component of your show (if applicable)

• Touring Itinerary (PDF) and Estimated Touring Fees

• Video (YouTube/Vimeo Video Links)

• Audio (.mp3)

• Showcase Technical Requirements as 1 PDF or 3 separate PDF’s for Stage, Lights/Video, and Sound

• Payment via PayPal

Complete applications must be submitted along with the $60 application fee by 11:55 PM on Monday, June 21st, 2021. All applicants will be notified of their status in late July.

Terms & Conditions

Submission of this form constitutes acceptance and acknowledgement of the following Terms & Conditions of applying for and/accepting a juried showcase slot.

You do not need to be a current member of OAPN to apply to showcase, however, if selected you must become a member or renew your membership once notified of your Juried Showcase. Become a Member or Renew Here

This application does not represent a commitment by OAPN to provide a Juried showcase for all who apply.

If selected to showcase:

• OAPN Membership must be current.

• Confirmation must be received within 5 business days of offer to showcase.

• OAPN assumes no responsibility for costs associated with showcasing.

• OAPN reserves the right to use showcasing artists' submitted images and content for the promotion of OAPN.

• If a selected act is unable to appear, no substitutions will be permitted for its showcase performance. The showcase jury will establish a list of alternates from the original applications using the same criteria as used for choosing showcasing artists. Therefore, cancellation of an act by an agent or promoter does not guarantee that the agent/promoter will have the opportunity to fill the vacant showcase.

• Any changes to the showcase, with the exception of chosen repertoire, must be pre-approved as this is one of the jury's considerations in making the final selections.

All fees are non-refundable unless Federal, State or local mandates necessitate our postponing or cancelling the OAPN Conference.

No incomplete applications will be considered and showcase submission payment must be received by June 21, 2021. Please keep a copy of your e-mail confirmation of this application for your records. OAPN reserves the right to reject incomplete applications.

Ohio Arts Professionals Network does not assume any responsibility for member artists infringing on other artists' copyrighted material. Artists applying to showcase assume all responsibility in regard to copyrights, and ensure they either own rights or have obtained proper licenses to the material they are presenting for showcase consideration.
